I just analyzed my email messages. The majority of the ones I didn’t subscribe to and that were nothing but ads were coming to one email address. I like keeping my email clean, lean, and to one screen (hey, that rhymes!). To reduce incoming messages, I knew the solution in this case was to eliminate this email address.
Here’s my process (I’m using Outlook 2007).
- Removed that email address from my auto Send/Receive. I started checking the account manually about once a week. See the first video below to learn how to do this.
- Created a rule that sent messages coming from that account to a special folder. Check out the second video below and see how easy it is to do this.

After a month, I scrolled through to see if anyone was using the email address that should be notified of the cancellation (2 people).
- Notified people to change my email address they were using.
- Contacted Earthlink to cancel the email account.
- Removed the email account from Outlook and my iPhone.
- Created an email account to use for miscellaneous email. I can eliminate this account at any time and not have to notify anyone.
